Real-time analytics isn't always worth the cost. Get the right data timing for your actual business needs.
There’s a common misconception that real-time analytics—everywhere and all the time—automatically unlocks all kinds of advantages: faster dashboards, tighter feedback loops, smarter decisions, etc.
It sounds great…until you get the bill. Real-time infrastructure is expensive to run and even harder to scale well. You’re paying for compute that’s always on and architecture built to handle spikes that may never come. Unless your business trades stocks or routes aircraft, that complexity often goes to waste.
In practice, very few decisions are actually made in real time. And even fewer require the infrastructure that supports it.
What most organizations need is something more practical: data that’s fast enough to act on without all the weight of systems designed for speed at all costs. Right-time data, not real-time overkill.
Real-time by default is a costly mistake
Real-time analytics is often talked about as a silver bullet. But data doesn't always need to be available in seconds—it just needs to be ready in time to act. And “in time” looks different depending on the use case.
That nuance tends to get lost in architecture conversations. Teams over-engineer for speed without asking why, wiring up streaming pipelines for workloads that could run perfectly well as a nightly batch job. Many organizations think they want real-time, but end up only using the reports once a week.
It's not just infrastructure, either. Real-time adds headcount pressure, too. More experienced engineers are typically needed to maintain these systems.
None of this is to say real-time doesn't have a place. In the right context, it does. But when it becomes the baseline, it drains resources without delivering better outcomes.
Most workloads don’t need real-time
There are plenty of workloads that benefit from real-time data. For example:
- Detecting credit card fraud
- Tracking high-frequency trading activity
- Routing delivery drivers
In these cases, every second counts. But most organizational workloads fall outside of these bounds. Some of the most common ones, like dashboards and finance reports, are used weekly or daily at most.
Executive reports are a prime example of this mismatch. Many organizations request real-time capabilities for reports that are only sent once a week. This represents a significant opportunity for cost savings by simply computing the data once a day and sending it on schedule.
Storage is often over-architected in the same way. Teams default to premium storage tiers for data that’s rarely accessed—just in case. In some cases, organizations store everything in an active database when years of historical data could be moved to cold storage tiers, reducing costs by orders of magnitude while still maintaining query capabilities, albeit at a slower pace.
It all comes down to matching infrastructure to how data is actually used. Not how fast it could move—but how often it's needed, and how valuable that speed really is. When teams design around that reality, the cost savings are immediate, and the systems are a lot easier to live with.
What great teams do differently
Great teams don’t think of real-time as their baseline. They treat it as a design decision, and that shift in mindset changes how they build from the ground up.
It starts with right-sizing. Not just infrastructure but intent. The question shifts from “How fast can this be?” to “How fast does this actually need to be?” That nuance shows up early during discovery. For organizations making daily or weekly decisions, it makes more sense to build systems optimized for those timeframes rather than defaulting to the most expensive option.
The best teams pressure test every assumption. They validate which workloads truly need real-time and which ones are just clinging to it out of habit. Sometimes, the answer is yes—sub-second speed matters. But most of the time, a daily batch job does the trick without the operational drag.
Equally important: they revisit those decisions. Not every need for real-time is permanent, and not every compromise should be. If faster decisions are directly tied to increased revenue, then the additional expense might be justified.
That kind of flexibility doesn’t happen by accident. These teams build systems that scale up or down without blowing everything up. When priorities change, they adjust the cadence—not the whole stack. They end up with less waste, more clarity, and a tighter loop between what the business needs and what the system delivers.
