Recently, we collaborated with a leading ground transportation provider in North America to revamp their inefficient appointment scheduling process.
A staggering 70% of bookings required manual correction due to unclear confirmation methods, inaccurate customer inputs, and a lack of standardized procedures.
The scope of the problem was vast and multifaceted, but we were ready to take it on.

Using AI to accelerate problem-solving

Recognizing the limitations of traditional business analysis methods, we embraced the transformative potential of AI to streamline our approach and accelerate the problem-solving process.
The project kicked off with a critical meeting between the head of the pickup and delivery division and the development manager.

1. Initial analysis with ChatGPT

By feeding the interview transcript into this powerful language model, we distilled the conversation into four main topics, establishing a clear problem statement and identifying areas for further exploration.

2. Enhancing understanding with Speechify

Converting the transcript to audio using Speechify allowed us to absorb and note additional insights, leading to the identification of 14 initial themes, which we refined to 12 actionable categories with the assistance of ChatGPT.

3. Mapping the current state with LucidGPT

Utilizing LucidGPT, we drafted a process flowchart from our notes, capturing the essence of the problem while pinpointing areas that required more detailed analysis.

Fostering innovation through AI-driven collaboration

As new requirements emerged, such as the innovative “Location Profile” concept, we turned to ChatGPT for guidance on how this idea could address appointment scheduling issues and where it could be integrated into the existing flow.
After refining our prompts, we received an answer that helped us streamline the process, incorporating the “Location Profile” within the Contact Details step.

Rethinking the booking flow

By integrating new insights into our design with ChatGPT’s assistance, we streamlined the booking process, reducing steps and enhancing accessibility within the “To Be” flowchart.

Exploring design with AI tools

While experimenting with UI generative tools like Wireframe Designer, Text-to-GPT, Galileo, and UIzard, we uncovered essential elements of user interaction.
Though these tools didn’t produce the final design, they sparked crucial ideas that shaped our approach.

Continuous improvement fueled by AI

Integrating AI into our workflow was truly transformative, resulting in a 60% reduction in delivery times and significantly reducing back-and-forth with the client.
The process revealed that while initially tedious, refining AI prompts is immensely beneficial, saving us countless hours and enhancing the accuracy of our outcomes.
While current UI tools aren’t yet perfect for final designs, their ability to identify key interface elements is invaluable. This project was a testament to the power of AI in tackling complex, real-world problems.
By blending AI with our traditional design methods, we not only addressed the immediate issues but also laid the groundwork for future improvements, demonstrating that AI is an indispensable ally in the world of design and problem-solving.
